After you open a report, click the Refresh Data button to make sure Tableau is displaying the most current data.

VIEW DATA
Download the underlying data records for the data displayed and selected on the screen. The data records will display in a new browser window or tab. Some columns may be hidden – to display all columns, check the show all columns box at the top.
If there are more than 200 records, only the first 200 will be displayed in the browser – the total number of records is displayed at the bottom. To download all rows in a text file, click the link at the bottom of the page.
View Data button is grayed out? The View Data button is inactive and displays in light gray if nothing is selected on the screen. This often occurs when a view contains multiple tables and/or charts, and none of them are selected. To select a table, chart, or data element, click on it.
Not seeing all the data? View Data only provides the underlying data that corresponds to the data displayed and selected on the screen. For example, if you select a cell, column, or row in a table, View Data will only provide the data for that cell, column, or row. Likewise, in a chart, if you select a specific section of the chart, you will only receive data corresponding to that section. To receive data for an entire table or chart, you must select the entire table or chart by clicking in the white area in the upper-left corner of the table or chart. If there are multiple tables or charts on a page, you can download data for only one table or chart at a time.
SORT
Sorts the selected data in ascending or descending order.
Sort button is grayed out? The sort button is inactive and displays in light gray if you have not selected sortable data. For example, if a single cell in a table is selected, it cannot be sorted. Also, if the page contains multiple tables and/or charts, and none are selected, the data cannot be sorted.
Data isn’t sorting correctly? If data doesn't appear to be sorting correctly, consider what you have selected on the screen. All charts and tables are a little different; however you typically can sort by columns, but not by rows. If an entire chart or table is selected, Tableau may not know which data element to sort by.
Want to unselect a cell, column, or row? Click in the white area in the upper-left corner of the table or chart.
FILTER
Display only the selected data, or exclude the selected data.
Calculated fields in the chart or table, such as totals and averages, may change after the filter is applied. The filter will not change calculated fields in other tables or charts that appear on the same page.
Need to get back to the original view? Click the Revert All button.
EXPORT
Export the displayed data.
Image: Creates a .png image of all displayed data. If the page displays multiple tables and/or charts, they will all be included in the image.
Data: Creates a .csv file of displayed and selected data in data record format. The .csv file can be opened in Microsoft Excel for further analysis. If the page displays multiple tables and/or charts, only data for the selected table or chart will be included. If a specific section of the table or chart is selected, the .csv file will only contain data for the selected section.
Crosstab: Creates a .csv file of displayed data in crosstab format. The .csv file can be opened in Microsoft Excel for further analysis. If the page displays multiple tables and/or charts, only data for the selected table or chart will be included.
Print to PDF: Creates a .pdf file of all displayed data. If the page displays multiple tables and/or charts, they will all be included in the PDF.
REVERT ALL
Remove all filters, sorting, and other selections, and restore the page to how it was originally saved.
SELECT
Navigate the page by selecting data, zooming in, or panning. Options will be limited depending on the type of table or chart.
PAUSE AUTOMATIC UPDATES
Prevent data from updating automatically while you are viewing.
REFRESH DATA FOR THIS VIEW
Refresh the page with the most current data.
